Terms of Service

1. Acceptance

By creating an account or using CoachFlow (the "Service"), you agree to these Terms. If you do not agree, do not use the Service. The Service is operated by Web2Fly ("we", "us").

2. Description of the Service

CoachFlow is a SaaS platform that helps independent coaches manage their clients, sessions, bookings, availability, and payments. The Service includes a web application, public booking pages, scheduling tools, and related features.

3. Account registration

  • You must provide accurate and complete information during registration and onboarding.
  • You are responsible for maintaining the security of your account credentials.
  • One account per person. Sharing accounts is not permitted.
  • You must be at least 18 years old to use the Service.
  • We reserve the right to refuse registration or terminate accounts that provide false information.

4. Plans and billing

  • Free plan: Includes core features with limits (e.g., number of clients, session types). No payment required.
  • Paid plans (Plus, Pro): Billed monthly or annually. Prices are displayed in your local currency (EUR or USD) and include applicable taxes.
  • You may upgrade, downgrade, or cancel at any time. Downgrades take effect at the end of the current billing cycle.
  • We reserve the right to change pricing with 30 days' notice. Existing subscribers are grandfathered until their next renewal.

5. Free trial & refunds

Paid plans include a 14-day money-back guarantee from the date of first purchase. After this period, no refunds are issued for remaining subscription time. Plan downgrades do not generate a refund for unused days.

6. Your responsibilities

As a data controller

You are the data controller for any client data you enter into CoachFlow. This means:

  • You must have appropriate legal basis (e.g., consent, contract) to store your clients' personal data.
  • You are responsible for the accuracy and legality of the data you enter.
  • If a client requests deletion or access to their data, you must process that request. CoachFlow provides tools to help (edit, delete, export).

Acceptable use

  • You must not use the Service for unlawful purposes, spam, or to harass others.
  • You must not attempt to access other users' data, reverse-engineer the Service, or exploit vulnerabilities.
  • You must not upload malicious files, scripts, or content that could harm the Service or its users.
  • Automated access (scraping, bots) is prohibited without written permission.

7. Our responsibilities

  • We will provide the Service with reasonable skill and care.
  • We target 99.9% uptime but do not guarantee uninterrupted availability.
  • We will notify you of planned maintenance in advance when possible.
  • We act as a data processor for client data you enter, in accordance with our Privacy Policy.
  • We implement strict data isolation — your data is never visible to other coaches (enforced via Row-Level Security).

8. Intellectual property

The CoachFlow name, logo, design, and application source code are owned by Web2Fly. You retain full ownership of all data you input. By using the Service, you grant us a limited, non-exclusive license to process your data solely to provide and improve the Service.

9. Account deletion & data removal

  • By you: You may delete your account at any time from Settings. Deletion is permanent and immediate — all your data (profile, clients, sessions, bookings, availability, uploaded files) is irreversibly removed. There is no recovery period or grace window.
  • Before deleting: We recommend exporting your data first (Settings → Export My Data) as it cannot be recovered after deletion.
  • By us: We may suspend or terminate accounts that violate these Terms, with notice when reasonably possible.

10. Limitation of liability

To the maximum extent permitted by applicable law:

  • The Service is provided "as is" and "as available" without warranties of merchantability or fitness for a particular purpose.
  • Our total liability is limited to the amount you paid us in the 12 months preceding the claim.
  • We are not liable for indirect, incidental, special, or consequential damages, including lost profits, lost data, or business interruption.
  • We are not responsible for damages caused by third-party services (payment providers, email services, etc.).

11. Indemnification

You agree to indemnify and hold harmless Web2Fly from any claims, damages, or expenses arising from your use of the Service, your violation of these Terms, or your violation of any third party's rights — including but not limited to your clients' data protection rights.

12. Governing law & disputes

These Terms are governed by French law. For users located in the European Union, mandatory consumer protection laws of your country of residence also apply. Disputes will be submitted to the competent courts of Paris, France, unless local law provides otherwise.

13. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.

14. Changes

We may update these Terms from time to time. Material changes will be communicated at least 30 days in advance via email or in-app notification. Continued use constitutes acceptance of the updated Terms. If you disagree, you may delete your account before the changes take effect.
