Before you start

Is Grix free?

Yes, with the Free plan: no time limit, no credit card, up to 10 active clients and 2 booking links. Plus costs €7.99/month and Pro €19.99/month (20% less billed yearly), tax included, no commitment. Grix takes no commission on your payments.

Do I need a credit card?

No, not for the Free plan. A card is only needed to start the 21-day Plus or Pro trial (€0 during the trial, first charge when the 21 days are up) or to upgrade to a paid plan.

Is there a free trial?

Yes. Plus and Pro come with a 21-day free trial, once per account: at sign-up from the Pricing page, or later from Settings → Billing. A card is required, nothing is charged during the trial. After a first trial or subscription, an upgrade is charged right away.

What happens when the trial ends?

When the 21 days are up, the subscription starts at the price you chose (monthly or yearly) and your card is charged. To pay nothing, cancel before then in Settings → Billing: you move to the Free plan and keep your data.

Can I cancel anytime?

Yes, no commitment, even on a yearly plan. Cancel from Settings → Billing: your plan stays active until the end of the paid period, then you move to the Free plan and keep your data. Cancel during the trial and you are never charged.

Do you offer refunds?

Yes. If Grix isn't right for you, email contact@web2fly.com within 14 days of your first payment and we'll refund that payment. After that there are no prorated refunds: cancelling takes effect at the end of the paid period. Nothing is charged during the trial.

Do my clients need an account?

No. They book from your link with their name, email and phone number, with no password or app to install. A one-to-one booking arrives as a request you accept or decline; a group class is confirmed while seats remain.

Do my clients get reminders?

Yes, by email, automatically: the evening before at around 8 pm (the coach's time zone) on every plan, plus about 1 hour before on Plus and Pro. Each reminder gives the time and place, with Google Maps, Waze and Apple Maps links, or the video link. No automated texts.

Does Grix take a commission on my payments?

No, never. Today you collect payment however you like (cash, bank transfer…) and mark the session as paid. Online payments through your own Stripe account are not open yet; once they are, the money goes straight to your account with no Grix commission, only Stripe's fees.

Does Grix sync with Google Calendar?

Not yet, it's being rolled out. Meanwhile, every confirmation email includes an invite for Google Calendar, Apple Calendar or Outlook.

Is my data hosted in Europe?

Yes. The database (Supabase) is in the European Union and the app is hosted in Paris. Your data is encrypted in transit and at rest; you can export it (Excel, CSV or JSON) or delete it at any time in Settings → Privacy.

Is the client's phone number required?

Yes: it lets you send pre-filled SMS or WhatsApp messages in one click from your own phone (session details, payment requests on Plus and Pro). National format is accepted, for example (555) 123-4567: Grix stores it in international format when the number matches your account's country. Grix does not send automated texts.

Can I import my clients?

No, there is no file import yet. Adding a client takes seconds (name and phone are enough), and people who book through your link are added to your clients automatically, with duplicate detection.

What if I go back to Free?

Nothing is deleted: clients, sessions and history stay available. Above the Free limits you can't add clients or booking links, and group or series links stop taking bookings.

Getting Started & Account

How do I create an account?

  1. Go to Sign up.
  2. Enter your email and choose a password — or click Continue with Google for one-click sign-in.
  3. Confirm your email via the link we send you.
  4. You're in! The onboarding wizard guides you through the rest.

What happens during onboarding?

After signing up, a 4-step wizard guides you through:
  1. Your identity — Name, phone, coaching type, bio and photo.
  2. Your booking link — The address of your public page.
  3. Availability & rate — Your weekly hours and your session price.
  4. First client — Optional, you can skip this step.
If you picked Plus or Pro on the Pricing page, a last step starts your free trial. You can change everything later in Settings.

Can I use Grix in French?

Yes! Grix is fully bilingual — English and French. Use the language switcher in the header or footer. Your choice is saved automatically, so it stays the same every time you visit.

Plans & Pricing

What are the differences between Free, Plus and Pro?

Free (€0) — 10 clients, 2 booking links, session and payment tracking, basic KPIs, email reminders the evening before.
Plus (€7.99/mo) — 25 clients, 10 booking links, group sessions (10 participants), an extra reminder 1h before, change and cancellation emails, series editing, payment requests, priority email support.
Pro (€19.99/mo) — Everything in Plus, unlimited clients and booking links (series included), groups of up to 50 participants, Pro KPIs.

What is an active client?

A client in your Clients list, whether you added them yourself or they booked through your link. Clients moved to the trash don't count. Sessions are not limited: only the number of clients counts (10 on Free, 25 on Plus, unlimited on Pro).

Can I switch plans anytime?

Yes, from Settings → Billing. Upgrades take effect immediately and are prorated. Downgrades take effect at the end of the paid period: you keep your features until then.

Who bills me, and in what currency?

Web2Fly, the company behind Grix, through Stripe, in euros with tax included. The label on your bank statement includes 'GRIX'. You can still price your own sessions in euros or dollars in Settings.

Are prices tax included? Will I get an invoice?

Yes, the prices shown include tax. Every payment has its invoice, which you can download in Settings → Billing → Manage subscription. You can add your billing details there: company name, address and VAT number.

What happens when I reach my client limit?

You'll see a prompt to upgrade. Don't worry — existing clients remain fully accessible. To free up slots, move clients you no longer coach to the trash, or upgrade to add more. Free allows 10 clients, Plus allows 25, and Pro is unlimited.

Managing Clients

How do I add a client?

  1. Go to Clients from the sidebar.
  2. Click + Add Client.
  3. Enter their full name and phone number (required), and their email. National format is accepted (e.g., (555) 123-4567).
  4. Optionally add tags, coaching level, goals, and notes.
  5. Click Save — the client appears in your list immediately.

Can I organize clients with tags and levels?

Yes. Each client can have:
  • Tags — Custom labels to group clients (e.g., "Corporate", "Weight Loss", "VIP").
  • Level — Beginner, Intermediate, or Advanced.
  • Goals — Free-text notes about what the client wants to achieve.
  • Notes — Private notes visible only to you.

Can I merge duplicate clients?

Yes. If Grix detects duplicates (matching email, phone, or name), you can merge them into one record. Merging combines all sessions, reviews, and financial data. The primary record keeps the most complete information. This helps keep your client list clean.

What does "at-risk" client mean?

A client is flagged as at-risk when they have had no session in the last 30 days and have no upcoming sessions booked. This appears on your dashboard so you can reach out and re-engage before they drift away. It's a retention tool designed to help you keep your coaching relationships active.

How do I manage multiple coaching clients at once?

Grix is built for independent coaches managing multiple clients. Your Clients page gives you a full list with status indicators, session history, payment health, and tags. Use the dashboard to see today's schedule and at-risk clients at a glance. The calendar shows all sessions across clients in one view.

Can I delete a client?

Yes. Deleting a client moves them to the trash bin (soft delete). You can restore them within the trash if needed, or permanently delete them. The trash icon in the client list shows how many items are in the bin.

How do I create a session?

  1. Go to Sessions from the sidebar.
  2. Click + New Session.
  3. Choose a client, session type, date, time, and duration.
  4. Select location: In-person (address required), Online, or Hybrid.
  5. Set a price — or mark it as a free session.
  6. Click Create — the session appears in your list and calendar immediately.

What are session types?

Session types are pre-configured templates that set the duration and price automatically. Grix includes 3 default types: 30 min, 60 min, and 90 min. You can enable or disable them, and create your own types, on every plan, in Settings → Availability.

What is a series vs. a single session?

A single session is a one-off appointment. A series is a recurring block of sessions (e.g., 10 weekly coaching sessions). You create the series once, and all individual sessions are generated automatically. On Plus and Pro plans, you can edit future sessions in the series in bulk, for example to change the time or the price.

Can I edit or cancel a session?

Yes. Open any session and you can:
  • Edit — Change date, time, location, notes, or other details. Price can only be changed for unpaid or free sessions; once a session is paid, refunded, or waived, the price is locked.
  • Change status — Mark as completed, no-show, cancelled, or re-schedule.
  • Delete — Moves to trash bin (can be restored).
For cancellations, you can choose to request payment or waive the fee.

Can I change the price of a paid session?

No. Once a session is paid, refunded, or waived, the price is locked and cannot be edited. You can still change the date, time, location, meeting link, or notes. For a series, when you change the price, only unpaid sessions in that series are updated; already paid sessions keep their original price.

Are my clients told when I change a session?

Yes, on Plus and Pro. When you change a session or a series (duration, price, location, meeting link), your client receives an email that lists exactly what changed, for example "Duration: 60 min → 90 min". This applies to one-to-one sessions, group sessions and series.

How do I see only today's sessions?

On the Sessions page, use the Period filter and select "Today". This instantly shows only sessions scheduled for the current day. You can also use other period filters: This Week, This Month, Last 30 Days, Last 90 Days, or All Time.

What is the trash bin?

When you delete a session, it goes to the trash bin instead of being permanently removed. You can see the trash count via the bin icon at the top of the sessions list. From there, you can restore accidentally deleted sessions or permanently remove them. This works the same way for clients.

How do I quickly complete today's sessions?

On your Dashboard, if you have scheduled sessions today, a quick action card appears: "Mark X session(s) complete". Click it, confirm in the dialog, and all of today's scheduled sessions are marked as completed in one click. No need to edit each one individually.

Smart Booking

What is Smart Booking?

Smart Booking is a shareable URL you give to clients (or post on social media, your website, etc.). When someone opens it, they see your public Smart Booking page — with your name, photo, bio, available time slots, and session details. They pick a slot, enter their info, and submit a booking request. You then accept or decline it from your dashboard. No Grix account needed for the client.

How many Smart Booking pages can I create?

Free: 2 individual Smart Booking pages. Plus: 10 individual Smart Booking pages. Pro: Unlimited (individual & series). Each Smart Booking can be for a different service you offer (e.g., "Discovery Call", "1-hour Coaching Session", "Group Workshop").

What do clients see on my Smart Booking page?

Your public Smart Booking page shows:
  • Your profile photo (avatar), name, and bio.
  • Session details (type, duration, price).
  • Your available time slots based on your weekly schedule.
  • A form for the client to enter their name, email, and phone.
  • Your cancellation policy (if configured).
  • A liability waiver checkbox (if enabled).

Payments & Billing

How does payment tracking work?

Grix tracks payment status per session. Each session can be:
  • Unpaid — Payment is expected but not yet received.
  • Paid — You mark it as paid when the client pays you.
  • Refunded — Payment was returned to the client.
  • Waived — You chose not to charge for this session (e.g., cancellation).
  • Free — The session was offered at no cost.
Your dashboard shows total revenue, unpaid amounts, and payment trends.

Can my clients pay me online?

Not yet: online payments through your own Stripe account are coming soon. Meanwhile, mark sessions as paid when the money arrives and, on Plus and Pro, chase an unpaid session in one click by email, SMS or WhatsApp.

Can I send payment reminders?

Yes, on Plus and Pro plans, in one click from "Request Payment": Grix sends the reminder by email, or opens a pre-filled SMS or WhatsApp message that you send from your phone. Reminders are not sent automatically — you decide when to follow up. On the Free plan, you can see the "Request Payment" flow but need to upgrade to actually send reminders.

Dashboard & Insights

What do I see on the dashboard?

Your dashboard sums up your day:
  • A greeting that adapts to your day (e.g., "You have 3 sessions today!").
  • Today's schedule — Clickable list of upcoming sessions.
  • KPI cards — Total clients, sessions this month, revenue, and more.
  • Action nudges — For example "You have 2 unpaid sessions".
  • At-risk clients — Clients you haven't seen in over 30 days.

What are KPIs?

KPIs (Key Performance Indicators) are numbers that show how your coaching business is doing. All plans include 4 basic KPIs: total clients, sessions this month, upcoming sessions, and revenue. Pro plan adds 4 advanced KPIs: revenue trend (6-month chart), payment health (visual bar), session heatmap, and time utilization. You can show/hide any KPI from Settings → Preferences.

What are "action nudges"?

Action nudges are suggestions that appear on your dashboard when there's something you should do. For example:
  • "You have 2 uncompleted sessions from yesterday" → Quick-mark them as complete.
  • "3 sessions are unpaid" → Go to payment tracking.
  • "You haven't created a Smart Booking yet" → Create one now.
They disappear once the action is taken.

What are milestones?

Grix celebrates your progress with milestone achievements. When you reach key moments (first client added, 10th session completed, first booking received, etc.), a celebration toast appears. It's a small motivational touch to keep you going as you build your coaching practice.

Settings & Personalization

How do I upload a profile photo?

  1. Go to Settings → Profile.
  2. Click the camera icon on your avatar.
  3. Choose an image from your device (JPG, PNG, WebP).
  4. The image is automatically compressed and optimized (resized, converted to WebP, under 100 KB).
  5. Your new photo appears across the app and on your public booking pages.

How do I set my weekly availability?

  1. Go to Settings → Availability.
  2. Toggle on the days you work (e.g., Monday through Friday).
  3. Set your working hours for each day (e.g., 9:00–12:00, 14:00–18:00).
  4. Add multiple time slots per day if you have breaks.
  5. Set buffer time between sessions (e.g., 15 minutes) to avoid back-to-back bookings.
Changes auto-save. Your availability is reflected on your public booking pages.

Can I customize how the calendar displays times?

Yes — two preferences in Settings → Preferences:
  • Time format — 24H (e.g., 14:30) or 12H AM/PM (e.g., 2:30 PM).
  • Calendar display — Active hours (06:00–22:00) for a focused view, or Full day (00:00–24:00), which opens at 08:00.
Both settings auto-save.

How do settings save?

All settings auto-save as you make changes — no "Save" button needed. After you change a field, you'll briefly see a "Saving..." indicator, then "Saved" with a checkmark. This applies to your profile, business details, preferences, and availability.

How do I reset my password?

  1. On the login page, click "Forgot password?".
  2. Enter your email address.
  3. Check your inbox (and spam folder) for a reset link.
  4. Click the link and set a new password.

Is there a dark mode?

Yes. Click the sun/moon icon in the top navigation to switch between light and dark mode. Your preference is saved in your browser and applied automatically on future visits.

Data, Privacy & Security

Can I export all my data?

Yes. Go to Settings → Privacy, pick Excel, CSV or JSON and click Export my data. The file contains your profile, clients, sessions, bookings, availability and settings. It's your data: you can take it with you anytime.

How do I delete my account?

  1. Go to Settings → Privacy → Delete account.
  2. You'll be asked to type a confirmation word to prevent accidents.
  3. Click Permanently Delete.
  4. Your account and all associated data are immediately and permanently erased — profile, clients, sessions, bookings, files, everything.
This action is irreversible. We strongly recommend exporting your data first.

What are my privacy rights?

All users can access, correct, export, and delete their data directly from the app. European users have additional rights under the GDPR (restrict processing, lodge a complaint with CNIL). California residents have rights under CCPA/CPRA (know, delete, opt-out of data sale — though we never sell data). See our Privacy Policy for the full details.

Is my data safe?

Yes. Grix uses:
  • Encryption at rest and in transit (TLS 1.3).
  • Row-Level Security — Your data is isolated; no other coach can access it.
  • Rate limiting on all endpoints to prevent abuse.
  • Server-side validation on all forms and actions.
  • Security headers (CSP, HSTS) to protect against common web attacks.

Technical & Support

Does Grix work on mobile?

Yes. Grix runs in your phone's browser (iPhone, Android) and can be added to your home screen like an app — just tap "Add to Home Screen" in your browser, no app store needed. An internet connection is required.

What browsers are supported?

Grix works on all modern browsers: Chrome, Firefox, Safari, Edge, and their mobile equivalents. We recommend keeping your browser up to date for the best experience.

How do I contact support?
