Scheduling software for independent coaches: sessions, availability and reminders

A general-purpose calendar knows something happens on Tuesday at 6 PM. It does not know who the client is, what the session costs, whether it has been paid or whether it is the tenth of a program. That information ends up in notes, messages or your memory.

In Grix, every slot in your calendar is a session connected to a client, a duration, a price, a place or a video link, and a payment status. You open the session and the context is there, without digging through conversations. It also makes client management easier week after week.

You set your working days and hours once, with several time ranges per day if you take a break, a buffer between two sessions, your days off and one-off blocks. For each booking link, you also choose the minimum notice before a session and how far ahead clients can book.

Your public page only shows slots that are actually free. A one-to-one session arrives as a request you accept or decline; if you do not respond within 72 hours, or by the session start time at the latest, it expires and the slot is released. Group classes are confirmed instantly, with a waitlist once they are full.

The evening before, around 8 PM your time, each client gets an email reminder with the time, the place and Google Maps, Waze and Apple Maps links, or the video link. On Plus and Pro, a second reminder goes out one hour before the session. You get a summary of the next day's sessions yourself.

Grix does not send automated text messages. When a direct message works better, Grix prepares a text or WhatsApp message with the session details, which you send from your own phone. A tennis coach confirming a court or an online coach resending a video link saves a few messages a day.

A ten-week program should not be entered one session at a time. A series creates every session of a program at once; on Plus and Pro, you edit future sessions in bulk and the client gets an email showing what changed.

The calendar warns you about overlaps, blocked days and sessions outside your working hours. Each session ends with a clear status (completed, no-show or cancelled) and, from the dashboard, you mark all of today's sessions as completed in one click.

Grix is built for a solo coach: it does not handle a calendar shared between several coaches, nor room or court bookings. It does not sync with Outlook or Apple Calendar, and Google Calendar sync is not open to every account yet. Every confirmation email does include an invite you can add to Google Calendar, Apple Calendar or Outlook.

Clients do not pay when they book: payment happens afterwards, in person or by bank transfer, and you record it on the session. Online payments through your own Stripe account are not open yet.

The Free plan costs nothing, with no time limit and no credit card: 10 active clients, 2 booking links and the evening-before reminder. Plus costs €7.99 a month and Pro €19.99 a month, with 20% off when you pay yearly.

You can try Plus and Pro free for 21 days, once per account, at sign-up or later from within the app: a card is required, nothing is charged before day 21 and you can cancel before then. Grix takes no commission on your sessions.
